AI helpdesk for MSPs: a bot for each client

Managed service providers answer the same first-line questions for every client: password resets, VPN, new laptops, "how do I share this file". An AI helpdesk bot inside each client's Microsoft Teams or Google Chat answers those from that client's own documentation, and passes the rest to your technicians as tickets.

How It Works

How an MSP uses ChatGridAI

  1. 1

Set up one ChatGridAI account per client

Keep each client separate: their own documents, their own users, their own OpenAI key. Nothing is shared between clients.

  2. 2

Install in the client's chat tool

Install the Teams app in the client's Microsoft 365 tenant, or the Google Chat app in their Workspace domain. The client's admin approves it like any other app.

  3. 3

    Load the client's runbooks

Upload the client's IT documentation, or connect it from SharePoint, OneDrive, Google Drive, Confluence or Dropbox. Use groups to keep, for example, admin-only procedures away from regular staff.

  4. 4

    Connect your ticketing

When the bot cannot solve the problem, it collects the details, shows the employee a summary, and after they confirm sends a signed webhook. Point it at your PSA directly, or through Zapier, Make or n8n.

  5. 5

    Review and improve

Look at what clients ask, fill the gaps in their documentation, and the share of questions the bot answers grows.

Why MSPs

What it changes for your service desk

Fewer first-line tickets

Password, MFA, VPN and "where is" questions are answered in chat from the client's own runbooks, at any hour.

Better tickets

When a ticket is needed, it arrives with the details already collected: device, error message, what was tried.

Client data kept apart

Each client has its own account, documents and OpenAI key. Answers only come from that client's documents.

Simple per-seat cost

$5 per seat per month with a 20-seat minimum per client, plus AI usage at OpenAI's price with no markup.

Pricing

What it costs per client

ChatGridAI is $5 per seat per month, with a 20-seat minimum, so a client account starts at $100 a month. AI usage is billed by OpenAI to whichever OpenAI account you connect: the client's own, or yours if you prefer to include it in your fee. For a typical SMB client, usage is a few dollars a month.

FAQ

Common questions

We recommend one ChatGridAI account per client. That keeps each client's documents, users and OpenAI key fully separate, so a question from one client can never be answered from another client's documentation.
When a ticket is needed, the bot sends a signed webhook with the collected details after the employee confirms. Send it to any system that accepts webhooks, or route it through Zapier, Make or n8n.
Yes. ChatGridAI works in both Microsoft Teams and Google Chat, so you can offer the same service to Microsoft 365 and Google Workspace clients.
Whoever owns the OpenAI account you connect. Many MSPs connect the client's own OpenAI account so usage is billed directly to the client; others use their own and include it in their fee.
Standard pricing is $5 per seat per month with a 20-seat minimum per account. If you are planning to roll it out to several clients, contact us to talk about your setup.
