Create Jira tickets from Teams and Google Chat
The usual Jira app for Teams or Google Chat gives you a form: pick a project, an issue type, fill in fields. Employees skip it and send a DM instead. ChatGridAI lets them describe the problem in plain words. The AI asks for anything missing, shows a summary card, and creates the Jira issue only after they reply confirm.
From a chat message to a Jira issue
-
1
The employee describes the problem
"I want to take annual leave from April 14th to 18th" or "The printer on floor 2 is jammed again".
-
2
The AI asks for missing details
Only the fields you marked as required: dates, device, urgency.
-
3
A summary card is shown
"Annual Leave 14-18 April - Type: annual - Paid: yes. Reply confirm to submit or cancel to dismiss."
-
4
The ticket is created
On confirm, ChatGridAI sends a signed webhook to Jira (or Zapier, Make or n8n). If delivery fails, the employee can reply confirm again to retry without retyping.
What an admin sets up once
- A template in the JSON Builder: the fields the AI should collect and the JSON sent to Jira.
- A webhook URL: the Jira REST API issue endpoint or a Jira Automation incoming webhook, or an automation tool in between.
- Authentication: a Jira API token in the webhook settings (stored encrypted), plus any custom headers.
- A test event from the dashboard to confirm Jira returns 201 before you switch Actions on.
The setup guide has a full leave-request-to-Jira Service Management example. You need someone comfortable with JSON and Jira fields for this step; employees never see it.
AI ticket creation vs the standard Jira chat apps
| ChatGridAI actions | Standard Jira app for Teams or Google Chat | |
|---|---|---|
| How a request starts | Plain words in chat | A form or a command |
| Fills fields | The AI asks only what is missing | The user fills each field |
| Confirmation step | Summary card, reply confirm | Submit button |
| Answers questions first | Tries the docs before opening a ticket | No |
| Notifications and issue previews | Not the focus | Yes |
Many teams use both: the Jira app for notifications, ChatGridAI for employees who just want to describe a problem.
