Copilot Studio pricing calculator for an HR or IT FAQ bot

Copilot Studio is billed in Copilot Credits, and the number of credits depends on what each answer does. That makes it hard to say what an internal FAQ bot will cost. Enter your team size and usage below for a monthly estimate, including the admin time that the credit price leaves out.

How It Works

How Copilot Studio pricing works

Copilot Studio usage is measured in Copilot Credits. You either pay as you go, at about $0.01 per credit, or buy prepaid packs of 25,000 credits for $200 a month. Each kind of agent action has a credit rate on Microsoft's billing rates page: a generative answer from knowledge counts about 2 credits, and grounding the answer in tenant data through Microsoft Graph adds about 10 more.

For a 50-person company where each person asks 8 questions a month, that is 400 answers. At 2 credits each it is 800 credits, about $8 pay-as-you-go. With Graph grounding it is 4,800 credits, about $48. A prepaid pack would cost more than either at this volume, because a pack only pays off above 20,000 credits a month.

So for a small internal FAQ bot, the credits are not the expensive part. The time is: designing topics, connecting and fixing knowledge sources, publishing to Teams, handling sign-in, and checking answers after every document change. That is why the calculator has an admin hours field. If your team already builds in Copilot Studio every day, lower it.

What Is Not Included

What the calculator leaves out

  • Microsoft 365 Copilot licenses. If your users already have Microsoft 365 Copilot, some agent use is included in that license. This calculator is for teams without it.
  • Build time. The first version of an agent takes days, not hours. The calculator counts monthly upkeep only.
  • Other channels. Copilot Studio does not publish to Google Chat. If part of your company uses Google Workspace, you need a second tool.
  • Actions and flows. Agent actions and Power Automate flows have their own credit rates and licensing.

ChatGridAI's number includes the seat fee and an estimate of OpenAI usage, which OpenAI bills to your own account. There is no separate credit system, and the bot works in both Microsoft Teams and Google Chat.

FAQ

Common questions

It depends on usage. Copilot Credits cost about $0.01 each pay-as-you-go, or $200 for a 25,000-credit monthly pack. A generative answer from knowledge uses about 2 credits, and Microsoft Graph grounding adds about 10. A 50-person FAQ bot with 400 answers a month uses roughly 800 to 4,800 credits.
Microsoft publishes credit rates and an agent usage estimator. This calculator is simpler: it is built for one use case, an internal HR or IT FAQ bot, and adds admin time, which is usually the largest cost at that size.
Building and running custom agents is not a standard Microsoft 365 feature. Some agent use is included for users with Microsoft 365 Copilot licenses. Other use is billed in Copilot Credits.
A pack is $200 for 25,000 credits a month, which is $0.008 per credit. It only beats pay-as-you-go if you use more than 20,000 credits a month. Most small internal FAQ bots use far fewer.
$5 per seat per month with a 20-seat minimum, plus OpenAI usage billed directly to your own account, usually a few dollars a month for a team of 50. There are no credits, and it works in Teams and Google Chat.
