A Copilot Studio alternative for HR and IT FAQ bots
Copilot Studio is Microsoft's low-code agent builder, and it can do a lot. Many teams open it to build one thing: an FAQ bot that answers HR or IT questions in Teams from SharePoint documents. If that is your goal, a ready bot gets you there faster, works in Google Chat too, and has a simpler bill.

Copilot Studio pricing for a small FAQ bot
Copilot Studio bills in Copilot Credits. Pay-as-you-go is about $0.01 per credit, and prepaid packs are $200 for 25,000 credits a month. How many credits a message uses depends on what the agent does: Microsoft's billing rates count a generative answer from knowledge at around 2 credits, and grounding on tenant data through Microsoft Graph adds about 10 more. Check Microsoft's current billing page, because rates and inclusions change.
For a 50-person company asking a few hundred questions a month, the credits themselves can be modest. The larger cost is usually time: building topics, wiring knowledge sources, publishing to Teams, and fixing answers when SharePoint knowledge does not return what you expect.
ChatGridAI is $5 per seat per month (20 seats minimum, so $100 a month for 20 people) plus OpenAI usage on your own account, usually fractions of a cent per question with GPT-5 Mini.
Why teams look for a Copilot Studio alternative
A common complaint: the agent is connected to a SharePoint site but answers "I can't find that". Causes include file types, file size limits, permissions and indexing delays. ChatGridAI indexes the exact files you pick into your own vector store, so you can see what the bot knows.
Publishing to Teams adds its own steps: channel setup, admin approval, and authentication settings. ChatGridAI installs as a finished Teams app.
Copilot Studio agents do not run in Google Chat. ChatGridAI serves both platforms from one setup.
Credits vary by feature per message. A per-seat price plus OpenAI usage you can see in your own account is easier to budget for a fixed team.
When Copilot Studio is the better choice
- You need agents that work across many Microsoft systems with Power Automate flows.
- You already have Copilot Studio capacity or Microsoft 365 Copilot licenses that cover your usage.
- You have a maker or developer who will own the agent long term.
- Your bot is not just Q and A from documents but a multi-step process with branching topics.
For Microsoft 365 Copilot itself (the per-user assistant), see ChatGridAI vs Microsoft Copilot.
