ChatGPT for Google Workspace: what works where
Google Workspace comes with Gemini, but plenty of companies also use ChatGPT. There is no ChatGPT switch in Google Workspace. Instead there are four ways the two connect, and they solve different problems: personal help inside ChatGPT, AI inside Docs and Sheets, a shared bot in Google Chat, and your own build on the OpenAI API.
Does ChatGPT work with Google Workspace?
Yes, in several places, but none of them is a setting inside Google Workspace. ChatGPT is OpenAI's product and Gemini is Google's, so ChatGPT always connects from outside: through OpenAI's own apps for Google services, through add-ons in the Google Workspace Marketplace, or through the OpenAI API.
Which route you need comes down to one question: is this for one person's work, or should it answer the whole company?
Four ways to use ChatGPT with Google Workspace
The first two are personal tools. The third is shared. The fourth is whatever you build.
| Where you use it | Who it serves | Good for | |
|---|---|---|---|
| ChatGPT apps for Gmail, Calendar and Drive | Inside ChatGPT | Each person who connects their account | Finding emails and files, drafting replies, meeting prep |
| Add-ons for Docs, Sheets and Gmail | Inside the Google app | Each person who installs one | Writing help and prompts over a sheet, in place |
| A GPT bot in Google Chat (e.g. ChatGridAI) | Google Chat DMs and spaces | Everyone you add, through one shared bot | HR and IT questions answered from company documents |
| Your own build on the OpenAI API | Wherever you code it | Whoever you build it for | Custom workflows, if you have developers |
ChatGPT apps for Gmail, Google Calendar and Google Drive
Inside ChatGPT, a user can connect Google services. OpenAI has called these connectors and, more recently, apps. Once connected, ChatGPT can search that person's Gmail, check their calendar and read the Drive files they can open, and use them in its answers.
This is personal. It works for one signed-in user, inside ChatGPT, with that user's access. Colleagues do not get a shared assistant, and every user needs their own ChatGPT plan. On ChatGPT Business and Enterprise, workspace admins decide which apps members may connect. OpenAI changes these features often, so check OpenAI's help center for the current list.
Add-ons in Docs, Sheets and Gmail
The Google Workspace Marketplace lists third-party add-ons that call OpenAI's models from inside Docs, Sheets and Gmail: writing help in a document, a formula that runs a prompt over a column, a drafted reply. Other companies build them, not OpenAI or Google, so check what data each one sends and where it goes.
These are per person too. They help with the document in front of you. They do not know your HR handbook or IT runbooks unless someone pastes them in.
A shared ChatGPT bot in Google Chat
This is the route for company knowledge. A Chat app sits in Google Chat, employees DM it or @mention it in a space, and it answers from the documents your HR or IT team picked, with a citation. It runs on OpenAI's GPT models through your own API key.
With ChatGridAI, an admin installs it from the Workspace Marketplace, pastes an OpenAI key, picks policy files from Google Drive (or uploads them) and chooses who can ask each department's group. The full walkthrough is in ChatGPT in Google Chat.
Build on the OpenAI API
If you have developers, you can call the OpenAI API from Apps Script or your own service and wire it into any Workspace app. You own the result, and also the work: storing keys safely, retrieval from documents, permissions and upkeep. OpenAI API key security best practices and buy vs build cover what that takes.
How Workspace admins control ChatGPT access
Any ChatGPT app or add-on that reads Gmail or Drive asks for Google OAuth access. A Workspace admin controls that in the Admin console under Security, Access and data control, API controls. There you can:
- See which third-party apps people have connected and what data they can reach.
- Mark an app as trusted, limited or blocked, for the whole domain or for chosen organizational units.
- Restrict high-risk services such as Gmail and Drive so only apps you trust can use them.
- Review requests when users try to connect an app you have not configured yet.
Google's own guide is Control which third-party and internal apps access Google Workspace data. Write the outcome into your AI policy for employees so people know which tools are approved.
ChatGPT or Gemini for Google Workspace?
Gemini is included in Google Workspace Business and Enterprise plans and works inside Gmail, Docs, Drive and Chat for each user. If you already pay for Workspace, it is the natural personal assistant.
ChatGPT makes sense when your team prefers OpenAI's models, already pays for ChatGPT or the OpenAI API, or when you want one shared bot that answers from documents a department controls. The two are not exclusive. See ChatGridAI vs Google Gemini for a side by side.
